State the intended result
Describe the desired initial appearance and the owner's intended maintenance approach without promising a permanent color. Identify whether the finish is factory applied, field applied, omitted intentionally or still undecided. If a product has been selected, record its exact name and color designation. Ask for the current technical and application information for that product and substrate. A broad phrase such as oil finish can conceal differences in preparation, application and later care that should be resolved before a sample is reviewed.
Coordinate surfaces and sequence
Use the applicable instructions to establish which surfaces receive treatment and at what stage. Identify responsibility for cut ends, repairs, touchups and surfaces that become inaccessible after assembly. Document the preparation associated with the approved sample so a later crew can understand the reference. Record any compatibility question between factory treatment, field finish and accessories for the appropriate manufacturer or reviewer. The brief should request these decisions without inventing application rates, drying times or universal coating requirements that are not supported by the selected system.
Link approval to care
An appearance decision should be accompanied by the maintenance information needed to sustain the owner's intended result. Request cleaning guidance, inspection cues, renewal instructions and relevant warranty documents from the selected provider. Distinguish the presence of warranty paperwork from a conclusion that the warranty covers this installation. Preserve product and batch information where available, together with the final sample disposition. If the finish choice changes, recheck the related preparation and maintenance records instead of replacing only the color name. The final record should explain what was used and how its care requirements were communicated.
