Record the installed selection
Start with the final product identities, supplier information and relevant lot or batch references available from the project. Link each to the locations where it was used, especially if substitutions or phased deliveries created more than one selection. Include the final profile and finish designations, accessory information and accepted changes. An early approved submission may no longer describe the completed installation, so reconcile it with the actual purchasing and field records. Mark unavailable information clearly instead of inferring it from a similar product.
Collect care and warranty information
Provide the applicable maintenance instructions and warranty documents supplied for the selected products. Identify the issuer, document version, relevant contact information and any required project registration record. Do not rewrite the warranty into a stronger promise or conclude that possession of a document establishes coverage. Include finish renewal information where a finish system was used and identify any retained sample that helps with future matching. Organize the package for the person who will maintain the work, who may not know the original submittal numbering system.
Keep decisions accessible
Retain the final register, substitution dispositions and important exception records with stable file names or links. Separate superseded files from current reference documents without deleting the history required by the project. Provide a short index explaining where product identity, care instructions and change decisions can be found. Record when the package was delivered and to whom. A complete closeout index confirms that requested records were assembled; it does not certify the work or replace contractual completion procedures. Its practical value is helping a future repair begin with reliable information about the installed assembly.
