
Use stable item identifiers, explicit revisions and a visible record of changes and disposition.
Identify the version
Each specification brief, drawing, product submission and sample record should show an identifier, revision and issue date. Keep the identifier stable enough to follow the item's history while making the current revision obvious. Avoid relying on filenames such as final or latest when several organizations exchange copies. In the register, store the exact document version reviewed and the version associated with the response. A link to a manufacturer's live page can supplement the record, but it may not preserve what the reviewer saw on a particular date.
Describe the change
Ask the author of a revision to identify changed fields and the reason for the change. A replacement PDF without a change description can hide a product switch inside an otherwise familiar package. Review dependencies such as samples, accessories, installation instructions and purchase records whenever the core product changes. Keep unresolved comments attached until they receive an explicit response. If an earlier approval is intended to carry forward, obtain that determination through the project's process rather than assuming that a new cover date leaves every decision unchanged.
Distribute and retire deliberately
Record who receives the revised information and identify documents that are superseded. Make obsolete copies visibly archival so they cannot be selected casually for field use. Preserve the history required by the project while keeping the working reference simple. Before procurement or installation release, reconcile the current register with the documents actually provided to the responsible parties. At closeout, identify the final versions associated with the installed work. Revision control is successful when a reader can determine what changed, which version applies and who resolved the consequences.
